Real estate thank you notes are short messages an agent sends to clients, partners and people who helped along the way. They cost little, take two minutes and are one of the few follow-ups people remember. This guide shows when to send each note, gives eight templates you can copy, explains whether to write by hand or email, and lists what to avoid. It is part of our wider guide to your sphere of influence.
Why Send Real Estate Thank You Notes?
A home sale is a big event in someone’s life, and many agents go quiet once it closes. A thank you note is a small, personal sign that you noticed the person, not only the deal. It also gives you a natural reason to be in touch again, which matters for referrals and repeat business.
These notes work best when they are specific. A line that mentions the home, the move or a moment from the deal reads as sincere, while a generic message reads as a form letter. Real estate thank you notes are not a sales pitch, so keep the ask for another day.
When Should You Send a Real Estate Thank You Note?
Send the note soon after the moment it refers to, while the person still remembers it. The timing below is our suggestion, so adjust it to how you work.
| Moment | Send Within | Best Format |
|---|---|---|
| Offer accepted or listing signed | 1 day | Email or text |
| Closing | 2 to 3 days | Handwritten |
| Referral received | 1 day | Call, then a note |
| Open house visit | 1 day | |
| First meeting with a new lead | Same day | Email or text |
| Home anniversary | On the date | Handwritten card |
| Lender, inspector or other partner | After the closing | Handwritten or email |
| Review or testimonial | 1 day |

What Are Eight Real Estate Thank You Notes You Can Copy?
Each template is two to four lines. Replace the brackets with real details, and change any sentence that does not sound like you.
1. After the Offer Is Accepted or the Listing Is Signed
“Hi [First name], thank you for trusting me with [address]. I am excited to get started, and I will send you the next steps by [day]. Please call me if anything comes up before then.”
2. After Closing
“Dear [First name], congratulations on your new home. It was a pleasure helping you through every step, from the first showing to the keys. Please keep my number, and call me any time you have a question about the house or the neighborhood.”
3. After a Referral
“Hi [First name], thank you for introducing me to [friend’s name]. Being recommended is the best compliment I can get. I will take good care of them and keep you posted.”
4. After an Open House Visit
“Hi [First name], thank you for stopping by [address] today. It was nice to meet you. If you would like details on this home or others nearby, just reply to this note.”
5. After a First Meeting With a New Lead
“Hi [First name], thank you for taking the time to talk with me today. As promised, I will send you [what you promised] by [day]. There is no pressure, and I am happy to answer questions whenever they come up.”

6. On a Home Anniversary
“Happy home anniversary, [First name]. It has been [number] year(s) since you moved in. I hope the house feels more like home each year. If you ever wonder what it is worth now, I am glad to look it up for you.”
7. To a Lender, Inspector or Other Partner
“Hi [First name], thank you for your work on [client’s] purchase. Your quick answers kept everything on track. I would be glad to send business your way again.”
8. After a Review or Testimonial
“Hi [First name], thank you for taking the time to write about our work together. It means a great deal, and it helps other families find help they can trust.”
How Do You Personalize Real Estate Thank You Notes in Two Minutes?
Keep a one-line detail for each client in your records, such as the first home they toured, a pet, a school or a deadline they met. Add that detail to the template and the note stops sounding like a form. If you have nothing to add, say what you enjoyed about working with the person.
Keep the note short. Three or four sentences are enough, and a signature with your phone number lets the person reply. Sign with your first name if you worked closely together, and write the person’s name the way they spell it. Real estate thank you notes that sound like you are worth more than polished ones that sound like a brochure.
Should You Handwrite Real Estate Thank You Notes or Send an Email?
Handwrite the notes that mark a milestone, such as closing and the home anniversary. A handwritten card stands out because it takes effort and arrives in a mailbox full of bills. Send emails or texts for quick moments where speed matters more, such as the day of a showing.
If an email note includes an advertisement, such as a link to your listings, treat it as marketing email. The FTC’s CAN-SPAM compliance guide says marketing email must include your valid physical postal address and a clear explanation of how to opt out, and that you must honor an opt-out request within 10 business days. A plain thank you with no promotion is simpler, and this is general information, not legal advice. Ask your broker if you are unsure.
What Should You Avoid in a Thank You Note?
- A sales pitch. Do not ask for a referral in the same message as the thank you.
- Vague praise. Replace “great working with you” with a detail from the deal.
- Gifts that break the rules. A gift attached to a note should follow the limits in our guide to closing gifts for real estate clients.
- Using a client’s words without asking. Get permission first, as explained in how to ask for real estate testimonials.
- Private details. Leave out prices, finances and anything the person has not made public.
- Waiting too long. A late note says less than one that arrives while the moment is fresh.
How Do You Keep Track of Who You Thanked?
Add a thank you line to each contact’s record: the date, the moment and the format. This keeps you from missing someone or sending the same message twice. It also shows which clients you have never thanked at all.

Review the log once a month and set a reminder for each anniversary. Our past client follow-up plan shows how the notes fit into a full year of contact, and the guide to service after the sale explains what else earns repeat clients.
Do Thank You Notes Lead to Referrals?
They help, but they do not work alone. A note keeps your name in front of someone who already likes you, and a referral usually follows when a friend asks for an agent. See our guide to a real estate agent referral for how to ask and how to say thank you for one. Do not count on a note to bring business, and do not skip the follow-up that comes after it.

Final Thoughts
Real estate thank you notes are cheap, quick and specific, and that is what makes them work. Send each one soon after the moment, handwrite the milestones, keep promotion out of them and record who you thanked. Once the note is out, the next step is steady contact through the year, which our past client follow-up plan lays out.
